When adding potential participants to your invitation list, you can choose between two options: Personal email addresses and Group emails. The main difference is how the invitations work and whether individual recipients can be tracked.
Personal email addresses
- Add specific people to your invitation list, either manually or by uploading a file.
- You can add additional information about each recipient and use it to personalise the invitation.
- Each recipient receives a personal registration link, where their existing information is automatically pre-filled in the registration form.
- Send individual invitations and reminders, manually register recipients, and track their responses.
- When a recipient registers using their personal invitation link, they are automatically moved from the invitation list to the participant list, as their registration is linked to their invitation.
- You can see who has not yet responded and who has declined their invitation, making it easier to follow up with individual recipients.
Group emails
- Send invitations that are not linked to a specific individual. Group invitations can be used in different situations, depending on how you want to distribute them.
- Each group invitation contains a general registration link that can be used by multiple people.
- Unlike personal invitations, no personal information is pre-filled in the registration form. Each person must enter their own details when registering.
- The invitation can be forwarded and shared, allowing multiple people to register using the same link, provided registration is open.
- Recipients can register for any participant category that is open for registration.
- Group emails remain on the invitation list even when someone registers using the link. This is because the registration is not linked to the group invitation, and multiple people can register using the same link.
- Because group invitations are not linked to individual recipients, you cannot track who has registered through a specific group invitation. Group invitations also cannot be marked as declined (No thank you) on the invitation list.
Use Personal email addresses when you want to personalise invitations, pre-fill registration forms and track individual responses.
Use Group emails when you want to share a general registration link that multiple people can use independently, without pre-filled personal information or individual response tracking.
