If your event includes catering, you can give participants the opportunity to inform you of any special dietary considerations that you need to address.
We recommend setting this up as a checkbox followed by a related free text field. This means that participants will only see the free text field if they tick the checkbox. This helps keep the registration form clear and relevant by only asking participants for additional details when they have indicated that it applies to them.

Step 1: Add a checkbox field
- Click on The event and then Basic setup.
- Click Participant categories on the right.
- Click Add personal information field on a participant category.
- Select New and then Checkbox.
- Name the field, for example:
I have special dietary considerations - Choose the participant categories that the field should be applied to.
- Make sure that Required is not checked.
The checkbox field should not be required, as participants should only select it if they have dietary considerations that are relevant for the event.
When you are done, click Select.
Step 2: Add a free text field
- Click Add personal information field again.
- Select New and then Free text.
- Name the field, for example:
Please describe your dietary considerations - Choose the participant categories that the field should be applied to.
- Mark this field as Required.
Because this field will only be shown if the participant ticks the checkbox, making it required ensures that participants who have indicated that they have dietary considerations also provide the necessary details.
When you are done, click Select.
Step 3: Relate the free text field to the checkbox field
To make the free text field appear only when the checkbox is selected, click the related field icon next to the free text field. This is the icon with connected dots.
Then select the checkbox field:
I have special dietary considerations
The free text field is now related to the checkbox field and will only be shown if the participant ticks the checkbox.
You can see that the fields are related when the free text field displays a smaller number matching the main checkbox field. The larger number marks the main field, while the smaller number indicates that the free text field is related to it and will only appear when the checkbox is selected.
This setup makes the registration form easier to complete while ensuring that you receive the relevant information from participants who have special dietary considerations.
